What is work instructions software?

Work instructions software shows operators the current standard for a task, step by step, with images or video. It controls versions, so everyone works from the same standard.

It supports standard work, the lean practice of recording the current agreed way to do a job. Many tools also capture operator sign-offs and feedback.

Training Within Industry (TWI) job instruction is a common way to break a job into steps, key points and reasons. The Lean Enterprise Institute covers TWI in its lexicon.

Paper, spreadsheet or software?

Laminated sheets and one-point lessons at the station still work for stable jobs with few variants. They are easy to read and need no devices.

Software helps when products change often, when there are many variants, or when you need proof of who trained on which version. It also helps with translation.

Work instructions vs SOPs

A standard operating procedure (SOP) describes a process at a higher level: its purpose, who is responsible, when it applies and which records to keep. A work instruction describes how to do one task, step by step, at the point of use.

Some software is built for document control of SOPs, with approvals and audit trails. Digital work instructions software is built for the station, with visual steps, variants and operator feedback. Many plants need both, so check which side a tool is designed for.

Both support standard work: the current agreed method that improvement starts from.

How to write work instructions operators will use

Use one action per step and a photo or short video taken from the operator's point of view. Mark the key points that make or break quality or safety, and say why each one matters, as in Training Within Industry job instruction.

Show error-proofing where it exists, such as fixtures that only fit one way. The poka-yoke page has examples.

Test each new instruction with someone who has not done the task before. Where they hesitate, the instruction needs work. Link each instruction to the skills matrix, so a change flags who needs retraining.

Connected worker platforms and digital work instructions

Some products sell work instructions as one part of a connected worker platform, with checklists, data capture, andon calls and skills tracking. Others focus only on instructions.

A wider platform can mean fewer separate tools, but also more to set up and maintain. List the features you will use in the first year and compare on those, not on the full feature list.

If instructions depend on the order or product variant, check how the tool links to your MES or ERP, so the operator sees the right version without searching.
