Operational excellence software: choosing an OpEx platformRun your improvement portfolio like a business.

Operational excellence software, or OpEx software, gives a continuous improvement program one place to run its project pipeline, apply standard methods and report verified results. It sits above day-to-day tools such as statistics packages and kaizen boards, and shows leaders what the whole program delivers.

Who it's for

Lean and Six Sigma program offices that run dozens or hundreds of projects and need to show what the program delivers.

The basics

What is operational excellence software?

Operational excellence software manages a portfolio of improvement work: kaizen events, Lean Six Sigma projects and A3s. It tracks each from charter to verified result.

Most tools add stage gates, often called tollgates, between DMAIC phases. They also record expected and validated savings, and roll results up by site and program.

Hard savings change the financial statements, such as lower scrap cost. Soft savings, such as freed capacity, are real but harder to bank. Many programs report the two separately.

Paper, spreadsheet or software?

A shared spreadsheet and a set of A3s can track a handful of projects. Many programs start that way.

Dedicated software helps when dozens of projects run across sites and finance must validate savings. Sponsors also get a portfolio view tied to hoshin kanri goals.

The routine it supports

  1. 1Submit an idea or charter
  2. 2Sponsor approves at the gate
  3. 3Run DMAIC or A3 phases
  4. 4Estimate the savings
  5. 5Finance validates
  6. 6Roll up to the program view
Then the loop starts again, from the new standard.

Lean Six Sigma project management software

General project management tools track tasks and dates. Lean Six Sigma project management software adds what improvement programs need: DMAIC or A3 templates, tollgate reviews with sponsor sign-off, and benefit tracking that finance can validate.

Many tools also record who led each project and at what belt level, which helps programs that certify belts on completed projects. The statistics themselves usually stay in Six Sigma software.

What is an operational excellence management system?

In oil and gas, chemicals and other process industries, an operational excellence management system usually means a framework of standards for safety, environment, reliability and efficiency. It is a management system first, and software supports parts of it.

In lean and Six Sigma programs, the term is used more loosely for the routines that run improvement: project selection, reviews, daily management and strategy deployment. Check which meaning a vendor uses before comparing products.

Build or buy an operational excellence platform

Some programs build their own tracker on a spreadsheet, database or low-code platform. That works when the method is settled and someone owns the upkeep.

A dedicated OpEx platform helps when many sites must follow the same stage gates, when finance validates savings, or when goals link to hoshin kanri. Count the ongoing maintenance of a home-built tool, as well as its start-up cost.

Buying guide

How to choose Operational Excellence Software

Who it's for: Lean and Six Sigma program offices that run dozens or hundreds of projects and need to show what the program delivers.

What to look for

Project pipeline

Every improvement project from idea to closure on one board, with stage gates you define.

Benefit tracking

Expected versus verified savings, signed off by finance when needed.

Standard templates

DMAIC, kaizen and A3 templates so projects follow the same method.

Program reporting

Dashboards by site, belt level, sponsor and type of benefit.

Common mistakes

  • Reporting projected savings as if they were real.
  • Making stage gates so heavy that people avoid starting projects.
  • Measuring the program by number of projects rather than results and capability built.

Before you choose

Questions to ask vendors

  1. 1How are savings validated, and can finance approve them in the tool?
  2. 2Can we configure stage gates and templates ourselves?
  3. 3How does the tool handle projects that span several sites?
  4. 4What reports do program sponsors usually use?

FAQ

Operational Excellence Software: common questions

What is DMAIC?
Define, measure, analyze, improve and control: the five-phase structure most Six Sigma improvement projects follow.
Do small programs need dedicated software?
A shared tracker can work for a few projects. Dedicated tools help when you need consistent methods, sign-offs and roll-up reporting across many projects.
How should we count soft savings?
Agree the rules with finance before projects start, and report hard and soft savings separately.
Is DMAIC a lean tool?
DMAIC comes from Six Sigma rather than lean. Lean Six Sigma programs use it to structure projects, often with lean tools inside each phase.
Can we track Lean Six Sigma projects in a spreadsheet?
For a few projects, yes. Spreadsheets get hard to keep current once many projects, sponsors and savings validations are involved.
What does OpEx mean in operational excellence?
It is short for operational excellence. In finance, OpEx also means operating expenses, so the context tells you which one is meant.
Is operational excellence software the same as a QMS?
No. A quality management system handles documents, audits and corrective actions. Operational excellence software manages improvement projects and their results, though some organizations link the two.
Who usually owns operational excellence software?
The continuous improvement or operational excellence office. Sponsors, project leaders and finance use it too.
