The basics

What is kanban software?

Kanban software gives a team a digital board for knowledge work. Cards move through columns that match the real steps of the work, with limits on how much can be in progress.

Paper, spreadsheet or software?

A whiteboard and sticky notes work well for one co-located team. They make the team design its own columns and policies, which is the hard part.

What kanban board software adds to a plain board

Most project tools now offer a board view, so the question is what kanban board software adds. The answer is usually three things: WIP limits the board enforces, explicit policies on each column, and flow metrics such as cycle time and throughput taken straight from card history.

Free and open source kanban software

Many kanban tools have a free plan, usually limited by the number of users, boards or features such as reporting. Open source kanban software is another route: you host it yourself and keep the data on your own servers, in exchange for running updates and backups.

Kanban software vs scrum tools

Scrum tools are built around sprints: a backlog, a sprint board that resets every iteration, and velocity or burndown charts. Kanban tools are built around continuous flow, so the board does not reset and the main measures are cycle time, throughput and work in progress.

Many tools support both, and some teams run scrum events with a kanban board. If your team plans in fixed sprints, check that the tool handles sprints well. Kanban Software: common questions

Is a physical board still worth using?
Yes, for a co-located team starting out. Move to a digital board when the team is spread across sites, you need history, or you want flow metrics without counting cards by hand.
What is a good starting WIP limit?
A common starting point is the number of people working in a column, or slightly fewer. Then tighten it until work starts to flow, and loosen it only when you have evidence the limit itself is the bottleneck.
Do I need a dedicated kanban tool if we already have a project tool?
Not always. Many project tools offer a board view. What you lose is usually enforced WIP limits and good flow metrics, so check those two before deciding.
Is kanban a lean tool?
Yes. Kanban comes from the Toyota Production System, where cards signal when to make or move more. Knowledge-work teams adapted it to visualize work and limit work in progress.
Is kanban software the same as e-kanban?
