5S audit software: digital 5S checklists and audit appsWalk the floor, score it and fix it the same day.

5S audit software turns the 5S checklist into a mobile app, so auditors score each area, attach photos and assign actions on the spot. Scores and open actions roll up by area and site, which shows whether the 5S standard is holding over time.

The basics

What is 5s audit software?

5S audit software schedules workplace audits, scores each area against its standard and tracks the actions that come out of them. Many tools also run layered process audits and safety checks.

5S stands for five Japanese words, usually translated as sort, set in order, shine, standardize and sustain. The audit supports the last step, sustain. See the 5S method page.

A typical audit scores each S on a short scale, with a photo for each finding and an owner for each action.

Paper, spreadsheet or software?

A one-page checklist and a camera phone work for one area. Paper audits make the team agree on what good looks like.

Software helps when many areas or sites run audits on a schedule. It keeps trends and photos in one place, and turns findings into tracked actions.

The routine it supports

  1. 1Schedule the audit
  2. 2Score the area on a phone
  3. 3Photograph each finding
  4. 4Assign an owner
  5. 5Verify the fix
  6. 6Review the trend at the huddle
Then the loop starts again, from the new standard.

What goes on a 5S audit checklist

Write a few questions for each S that an auditor can check by looking, such as whether every item at the station has a marked home. Avoid questions that depend on opinion, like whether the area looks tidy.

Adapt the checklist to each area. An office, a warehouse and a machining cell need different questions, even if the five headings stay the same. See the 5S method for what each S covers.

Keep it short enough to finish in a few minutes. Long checklists get rushed, and the findings lose value.

How 5S audit scoring works

Most audits score each S on a short scale, often with written descriptions for each score, then add them up for an area total. Photos of the standard and of each finding make scores easier to compare between auditors.

Use scores to see trends in one area and to decide where to help, not to rank teams against each other. Ranking tends to reward cosmetic clean-ups before audit day. The 5S program that lasts guide covers how to keep the habit going.

5S audit apps and layered process audit software

Many 5S audit apps also run layered process audits, safety walks and other checklists. If you plan to use more than 5S, check that the tool can rotate audits across people, areas and shifts on a schedule.

Check that failed items turn into actions with owners and due dates, and that someone verifies the fix. The link from audit to action is how 5S and kaizen work together.

Buying guide

How to choose 5S Audit Software

Who it's for: Plant managers, quality teams and supervisors who run gemba walks, 5S programs or layered process audits and are tired of paper checklists.

What to look for

Mobile checklists with photos

Auditors capture findings with photos on a phone or tablet, even with weak signal.

Layered process audit scheduling

Audits rotate automatically across levels, shifts and areas so coverage is fair and visible.

Findings become actions

Each failed check can create an action with an owner and due date, then be verified as closed.

Trend scoring

5S and audit scores over time per area, so you can see whether standards are holding.

Common mistakes

  • Auditing to score rather than to learn. Gemba walks are about understanding the work and supporting people.
  • Checklists that grow forever until nobody reads them.
  • Findings that never close, which teaches people that audits do not matter.

Before you choose

Questions to ask vendors

  1. 1Does the app work offline and sync later?
  2. 2Can we build our own checklists and change them without the vendor?
  3. 3How are overdue actions escalated?
  4. 4Can we compare scores across areas, shifts and sites?

FAQ

5S Audit Software: common questions

What is a layered process audit?
A short, frequent audit of the same key process checks carried out by several layers of the organization, from supervisors to plant leadership, on a rotating schedule.
What are the 5S steps?
Sort, set in order, shine, standardize and sustain. Some programs add a sixth S for safety.
Should gemba walks use a checklist?
A light structure helps, such as a theme or a few questions. Heavy checklists can turn a learning walk into an inspection.
How often should a 5S audit run?
There is no fixed rule. Many sites start weekly in a new area and move to monthly once scores are stable. Match the frequency to how fast the area drifts.
Is 5S part of lean or Six Sigma?
5S comes from lean and the Toyota Production System. Lean Six Sigma programs often use it too, because a stable workplace reduces variation.
Who should perform a 5S audit?
Often someone from outside the area, paired with a team member from the area. Rotating auditors keeps the standard consistent across areas.
What is a good 5S audit score?
There is no universal target. Define what each score means for your site and look at the trend in each area over time.
Should a 5S audit include photos?
Yes. A photo of the agreed standard and of each finding makes the audit clearer and helps the team see what to fix.
